Refund and cancellation policy

This policy applies to paid field engagements with Birchcore Market Review Co., Ltd., including Neighborhood Chain Store Reviews, corridor walkthroughs, catchment reads, and category shelf observation.

Eligibility

Refunds apply to fees paid for scheduled fieldwork that is cancelled under the conditions below. Informational website use carries no purchase and no refund.

Timeframe and cancellation

Cancel in writing to hello@desktop-birchcore.click at least five business days before the agreed visit date for a full refund of the engagement fee, less any non-refundable travel already purchased with your approval.

Cancellations between four and two business days before the visit receive a fifty percent refund of the engagement fee. Cancellations within one business day, or failure to provide agreed site access, are treated as no-shows and are non-refundable.

Rescheduling

One complimentary reschedule is available if requested at least three business days before the visit. Later reschedules may incur a fee covering reviewer reallocation.

Deposits

When a deposit is required to hold a field date, it is credited toward the final fee. Deposits become non-refundable once fieldwork has started or if the client cancels inside the no-show window.

Work already started

If preparation or on-site work has begun, fees for completed portions are due. Partial refunds may be offered for unfinished write-up stages at our discretion, based on hours already spent.

Purchased materials

Approved third-party costs such as intercity travel or printed corridor maps bought for the engagement are non-refundable once purchased.

Refund process and method

Email hello@desktop-birchcore.click with the engagement reference, payment date, and reason. Approved refunds are processed within fourteen business days to the original payment method unless another method is required by the payment provider.

Exceptions

If we cancel a visit for reasons within our control and cannot offer a suitable alternative date, you may choose a full refund of fees paid for that visit. Weather or municipal access restrictions may require rescheduling rather than refund when a later date remains workable.
